Reservation Policy
Bookings, payments, amendments and cancellations.
1. Booking & Confirmation
A booking is confirmed once we receive your advance payment and issue a written confirmation. Until then, quoted prices and availability are indicative and may change.
Please review your itinerary carefully on confirmation and tell us immediately if any detail is incorrect.
2. Advance Payment & Deposits
Most tours require an advance deposit — typically 25% of the total trip cost — to confirm your booking and secure hotels, transport and services.
Certain services (peak-season stays, fixed departures, flights and special trains) may require a higher or non-refundable deposit, which will be stated on your quote.
3. Payment Schedule
The balance is generally due before departure, as set out on your invoice. For bookings made close to the travel date, full payment may be required at the time of booking.
4. Amendments & Changes
We'll do our best to accommodate changes to a confirmed booking. Amendments are subject to availability and any difference in cost, plus supplier charges where applicable.
5. Cancellation by You
Cancellation charges depend on how far ahead of departure you cancel and any non-refundable components already booked on your behalf. As a general guide: more than 30 days before departure — loss of deposit; 15–30 days — up to 50%; 7–14 days — up to 75%; less than 7 days or no-show — up to 100%.
The exact charges for your trip are shared in writing before you confirm.
6. Cancellation by Us
In the rare event that we must cancel a trip, we'll offer a suitable alternative or a refund of amounts paid, less any unrecoverable third-party costs. We are not liable for incidental expenses such as visas or independently booked flights.
7. Refunds
Eligible refunds are processed to the original payment method within a reasonable period after cancellation. Bank charges and non-refundable supplier fees may be deducted.
8. Force Majeure
We are not liable for changes, delays or cancellations caused by events beyond our reasonable control, including natural events, strikes, political unrest, health emergencies or transport disruptions.
